Public relations: a quick guide for our team

1. Understand the services

Our role is to help organisations communicate clearly and build relationships with the media, customers and stakeholders. Start with the client’s objective, then recommend the relevant service.

Find a relevant story, check its supporting facts and prepare a clear pitch for suitable journalists. Coverage depends on editorial decisions.

Use interviews, surveys or feedback sessions to learn what customers, employees and other stakeholders need. Summarise themes and practical next steps.

2. Ask for a clear client brief

Capture these answers in a short meeting note:

  • Goal: What should people understand, feel or do after the communication?
  • Audience: Who needs to hear it, in which locations and languages?
  • Story and evidence: What is new or useful? Which facts and images are available, and who can act as spokesperson?
  • Scope: Which channels and deliverables are needed, by when and within what budget?
  • Context: Are there existing campaigns, audience concerns or sensitive issues?
  • Approval: Who confirms facts and approves messages, visuals and timing?

3. Move from brief to delivery

  1. Confirm the brief. Summarise the objective, audience, scope and open questions. Agree the next action with the client and project lead.
  2. Prepare a plan. Propose the message, channels, assets, timetable and a way to judge the result.
  3. Draft and check. Verify names, dates, figures, quotes and contact details. Check permission to use supplied photos, logos and customer stories.
  4. Get approval and coordinate. Obtain sign-off from the agreed approver before outreach or publication. Track who is responsible for each action.
  5. Review and learn. Record coverage, enquiries, engagement and feedback relevant to the goal. Share useful findings and recommend the next step.

4. Open the conversation simply

“We help organisations communicate clearly with the people who matter to them. What would you like your audience to understand or do differently? From there, we can suggest the right PR support.”

Listen first. Explain the service in plain language, confirm what is included and take unanswered technical or commercial questions back to the project lead.

Before you finish the meeting

Check that you have the client’s main contact, the agreed objective, the requested deadline and the next action with an owner and date. Send a concise recap for confirmation. Promise only deliverables and timelines that the team has agreed it can provide.
